HASSLE-FREE GROUP BOOKING SYSTEM – We all know we should ‘book early to avoid disappointment’.  The bigger your stag or hen party is, and the livelier your destination, the more true it is!  We’ve got a simple solution to help you book nice and early.
Instead of spending weeks inviting everyone and collecting deposits in order to book – our group payment system does all for you – after you book!  And you needn’t get stressed fearing being ‘stuck’ with a bill because someone had to pull out last minute, or because you’d hate having to ask late-paying mates to cough up – everyone will be paying individually and directly on line – something a group could never do before!

GROUP PAYMENT SYSTEM FAQs

1. How many people make a group?

use of the system is offered to parties of 8 and over  for activity-only bookings, or 10 and over for bookings with accommodation added.  When reserving your event, we only need to know the maximum number you intend to invite.  We’ll know actual group size later on, at the deposit deadline date.

2. How do I book my event package?

Once you have checked availability and decided on the package you want, call us with card details* to pay your reservation fee, normally equal payment for two persons.  We then set up a group payment page for your group and send you log in details.  Once you have everyone’s name and email address entered the system will send out invites with the planned itinerary, booking deadlines and log-in link for making payment. 
* We accept visa or master card debit and credit cards. N Ireland and UK customers will not be able to use sterling-Maestro cards.

3. What if someone in the group has no email address for me to put into the system?

If they have no email address the system cannot send them an invitation, but if you invite them yourself they can call us to pay, and we will add them to the group’s page.

4. Are our details secure?

 Absolutely. The system connects to Realex. Card details cannot be viewed by us or any other person in your group. All groups have an exclusive log in code, so you cant join the wrong party by mistake! We dont release any email addresses entered into the system to third parties except for the organisers contact details if a supplier hotel is involved.

5. Do i have to pay extra for the system?

 Not if you pay the initial reservation fee with a debit card.(Credit card payments are subject to a 3% bank commission charge.) Invitees using the system pay a €1.50 system fee per transaction.

6. Are there any costs not included?

* unless itemised specifically on your reservation documents, it’s not included. *Accommodation damage deposits. Not being on your itinerary does not guarantee you wont be asked for one on arrival. Most self-catering accommodation and many hotels will require a group deposit.  You should check with the accommodation provider, prior to arrival, as you will be paying it to them directly.

7. I would prefer to collect the money myself. Is this possible?

Yes, if you don’t want to use the system that’s no problem. You as organiser pay a group booking deposit and are responsible for providing final numbers and any balance due by the date agreed at time of booking.

8. What if we don't all want the same package?

Activities-only Packages – you pick one package for everyone.
An exception might be if a member of the group has to leave out some activities owing to disability, age or weight restriction. Provided we know about that when you book, we can adjust their price accordingly.

All-inclusive Packages – as per activity-only info above.
We can set up both one and two night options if not everyone can manage two, and even an activity-only option in addition.

‘Evening-only’ is not a standard option, as we are an extreme adventure centre offering all-inclusive packages in order to sell extreme adventure!!
We may be able to include 1 or 2 for evening-only, provided they are in addition to the minimum group size of 12.

If several in your party don’t want the activities it may be best to book an activity-only package requiring a lower minimum group size of 8, and book your hotel separately.

9. How much time does my group have to pay their deposits?

Usually within 14 days of making the initial reservation, unless you are booking very early or very late!  As a payment deadline approaches the system will send polite reminders to any invitee who hasn’t got round to paying. If anyone is having trouble meeting the deadline another member of the group can make a payment for them.
Everyone has the option to pay in full during this period if they wish.

10. When are balance payments due?

If applicable, balances are due 21 days prior to arrival, in order for payments to reach our bank for dispersal to all supplier partners before you check in.  The system will send out reminder emails to everyone who paid a deposit as the balance-due date approaches, because missing the balance-due date will be deemed their cancellation.

11. Can someone join the group later?

If there is availability you can still add people to your bookingafter the deposit or balance deadlines have passed. However, they will have to pay in full by phone, plus a €20 admin fee. We don’t recommend joining late – its very likely the hotel may have booked out.

12. Can payment deadlines be extended?

Not usually. However it is possible for one member of the party to make payment for others as well as themselves in order to meet payment deadlines and avoid admin fees.

13. I have missed a payment deadline and am shut out of the system.

You will need to call us to pay, so we can reinstate your place.  This will incur a €20 admin fee, and is subject to availability remaining.

14. The system wont accept my card / I don't have a debit or credit card

Are you from N Ireland using Maestro? Unfortunately Maestro is fixed for sterling payments only, so cant be used in Ireland.  ODD accept all Visa and Mastercard debit or credit cards.  If you don’t have one of those cards, perhaps another person in your group can pay for you, as we can only accept cheque or bank transfer payments for an entire group.

15. Can we pay on arrival instead of in advance?

We may agree to this if you want activities-only, and booked too late to set up a payment system.  You will still need to pay a group deposit though, and we won’t be able to reduce the balance if group size reduces 7 days or less to arrival.

16. What happens if we have to cancel?

Bookings using the Group Payment System
Deposit or full payments (less any transaction fees)are fully refundedif you cancel as a group or as an individual with a minimum 8 weeks’ notice.
If you cancel with less than 8 weeks’ notice no refund will be given.
No cancellation fees apply.
The initial payment made by the organiser to reserve a group booking and set up a payment system was a reservation fee, not a deposit, and as such is non-refundable once you have been issued log-in details.

Activity Bookings  paying balance on arrival
If you have this type of booking, cancellation fees for full group cancellation kick in 21 days to event, and increase in amount the nearer to arrival the cancellation occurs. Shorter terms of notice apply to a reduction in numbers.
Check cancellation terms and conditionsbefore booking, as your payment will be deemed your agreement to them.

We strongly recommend you have travel/holiday insurance cover in place against unforeseen circumstances such as injury, illness or bereavement which might cause you to cancel.


17. What protection do we have if something goes wrong with our booking?

We do everything possible to ensure this doesn’t happen.  But, in the unlikely event it did and we were unable to find acceptable alternative activities (or accommodation)you can reschedule or request a full refund, including any reservation fee.
This would not apply to multi-activity bookings which include Hovercrafting (which is weather dependant)  as they are subject to agreement by the organiser, on behalf of the group at the time of booking,  to accept an alternative experience if for safety reasons they cannot run.
Check terms and conditions before booking, as our liability to you does not extend to any other cost incurred which did not form part of the booking.
